Inventory Sync

Overview

Inventory Sync calculates sellable stock in your warehouses and pushes it to each channel store warehouse, row by row (channel + store + store warehouse), to help prevent overselling. Each row has its own sync switch, inventory sources, and sync rules.

The on-page Guided tour has 12 items: the main sync flow first, then auxiliary features. Highlighted areas can be clicked directly. The steps below follow the same order.

How to open

After signing in to SellingPilot, go to Warehouse > Inventory > Inventory Sync. You can also click Guided tour on the page and follow the highlights.

The page includes: - Table columns: Channel, Store, Store warehouse, Auto Deduct, Inventory Sync. - Row actions: Set as shared source, refresh store warehouses, and (after sync is on) inventory sources and sync rules. - Header tools: Force Sync, FBM inventory for FBA SKUs, Create in Warehouse (Auto), Reserve even if stock is short.

A. Main sync flow

1. Sync target

Each row is one sync target: this channel, this store, and this store warehouse.

  • Multiple warehouses under the same store appear as separate rows.
  • Stock is written to the store warehouse on that row.
  • The sync switch and rules are set per row.
2. Inventory Sync

Turn on Inventory Sync on the row to automatically push sellable stock from bound source warehouses to this store warehouse.

  • Supported channels: Newegg, Amazon, TikTok, eBay, Walmart, Shopify, Temu.
  • Rows marked as a shared inventory source cannot enable sync.
  • After you turn it on, inventory sources and sync rules expand on the row.
3. Inventory sources

This section shows which warehouses supply stock for the store warehouse.

  • Includes self-owned warehouses, platform warehouses, 3PL warehouses, and shared inventory sources.
  • To use stock from another channel: enable sync → open Configure → select a shared inventory source.
4. Sync rules

Three values currently in effect on the row. Change them in Configure.

  • Ratio: percentage of sellable stock to push; default 100%.
  • Sold-out threshold: when sellable stock is less than or equal to this value, channel inventory is set to 0.
  • Max inventory: if stock exceeds this value, the channel quantity is capped at it; 0 means out of stock.
5. Configure

After Inventory Sync is on, click the pencil (Configure) to open the Store warehouse sync settings drawer. Shared-source rows do not show this entry.

Complete setup in four steps:

  1. Sync target: confirm the channel, store, and store warehouse for this row.
  2. Inventory sources: choose self-owned, platform, or 3PL warehouses, or a store warehouse already set as a shared source.
  3. Special sync rules: set ratio, sold-out threshold, and max inventory.
  4. SKU scope: choose which SKUs the rules apply to.

B. Auxiliary features

6. Auto deduct inventory

Turn on Auto Deduct to deduct warehouse stock after the order item passes validation.

  • Independent from the Inventory Sync switch.
  • You can enable only one of them.
7. Set as shared source

Click Set as shared source and confirm to make this store warehouse a shared inventory source.

  • After success, the button turns green: Shared inventory source.
  • A shared source cannot enable Inventory Sync. Maintain stock in Listing Management or in the channel seller portal.
  • SellingPilot reads this stock about once an hour. Large SKU counts may delay updates; keep a safety buffer.

To use that source on other stores: enable Inventory Sync on the destination row → Configure → select the shared source under inventory sources.

8. Refresh store warehouse

Click the refresh icon next to the store name to sync the store’s latest warehouses into SellingPilot.

  • Refresh here first after you add a warehouse in the channel backend.
  • Available stock from those warehouses is also synced to the store warehouses.
9. FBM inventory for FBA SKUs

Choose how FBM inventory is updated for FBA SKUs (header dropdown):

  • No update: you maintain FBM stock yourself.
  • Update to 0: FBA and FBM are controlled by different SKUs (for example different prices). Zero FBM so the FBA SKU fulfills from FBA only.
  • Update to actual inventory: the same SKU has both FBA and FBM stock; push the real quantity so the listing is not removed for being out of stock.
10. Create in Warehouse (Auto)

When store products are synced, choose whether to auto-associate them with the default self-owned warehouse. Takes effect after store authorization.

11. Force Sync

Force-push all current physical stock to channel stores.

  • Inventory Sync must be enabled first.
  • Runs a full update even if quantities did not change; up to 3 times per day.
  • It can take a long time. Confirm channel inventory has updated before doing other work.
12. Reserve even if stock is short

Organization-level switch at the top of the page, off by default. Use it when overselling has already happened and you need the storefront to stop taking more orders first.

  • When on: If Auto Shipping Rules assign a warehouse but available quantity is not enough, SellingPilot still reserves that warehouse (available quantity may go below zero) and keeps the order fulfillable. Listing quantity on channels with Inventory Sync enabled is pushed to 0 so the storefront stops selling.
  • When off: The order moves to Pending without reserving inventory, and this order does not change the listing quantity to 0.
  • Notes: Auto Deduct must be enabled on that store warehouse. Only inventory-shortage failures enter this path; SKU mapping errors and similar issues do not. Manual warehouse change still follows the existing stock check. Turn this on only when you need to stop further channel sales first, then restock or change warehouses.

FAQ

Q1: How do I sync FBA stock to a Newegg SBS store?

  1. On Inventory Sync, find the Newegg SBS store warehouse.
  2. Turn on Inventory Sync for that row.
  3. Open Configure, select the FBA warehouse under Inventory sources, and save.

Q2: How do I sync inventory across channel stores without platform warehouses (FBA / SBN / WFS)?

Step 1: In Products > Listing Management, open the online listing, click SP SKU / Store SKU, and bind the same local SP product. Repeat for the same product on other stores.

Step 2: On Warehouse > Inventory > Inventory Sync, set the source store warehouse as a shared inventory source. On the destination rows, enable Inventory Sync, open Configure, select that shared source (multi-select supported), and save.

After these two steps, inventory can sync across those channel stores.

Q3: Why is channel inventory a fixed number instead of following actual stock?

A maximum inventory cap is usually set. Check Max inventory in the row’s sync rules or in Configure > Special sync rules.

Q4: After turning on “Reserve even if stock is short”, why is warehouse quantity negative while the channel quantity is 0?

This is expected. The negative quantity exists only in SellingPilot and means the order is already reserved—restock or change warehouses as soon as possible. The quantity synced to the channel is set to 0 to stop further orders. After you restock or move the order to a warehouse with enough stock, available quantity recovers and channel quantity is recalculated by inventory sync rules. Manual warehouse change, stores without Auto Deduct, and non-shortage failures such as unmatched SKUs do not use negative reservation.
